Summary/Goal:
In this article, we will review how managers can quickly search for one or multiple occupants meeting certain criteria to view or edit their records. In our April 2018 update, managers and staff can now search for occupants across all communities.
Brief:
With Pilera’s occupant search functionality, managers can search occupant(s) by location (unit, building, or street), first or last name; vehicle color, make, model, or license plate; phone number, or email address. On the occupant's page, click on the search bar located right below the navigation and type in the occupant name, location of the unit, etc. Occupants that reside in the same community can be searched through the global search function, If in a different community .the manager will be redirected to the appropriate community.
Step by Step:
- Hover your mouse over the Community tab.
- Click the “Occupants” link found under the Community drop-down menu.
- Click on either "Search this community only" or "All your communities".
- Type your criteria into search.
- Example: Name, Unit, Building, etc.
- Click the occupant name in the drop-down or the show all button to show all records that meet the search criteria.
- If the occupant resides in another community, the manager will be redirected to that specific community.
Short-Cut Keys:
Search by Unit: - To locate a unit, type U: into search and include the unit number.
Example: To search for occupants in Unit 201, Type U:201 into the search bar.
- Click the specific occupant’s name in the drop-down or click “Show All”.
Search by Building: - To locate occupants in a building, type B: into search and include the building number.
Example: To locate occupants residing in Building 1840, type B:184(0) into the search bar.
- Click on “121 (Building)” to view all occupant records.
Search by Street: - To locate occupants in a certain street, type S: into search and include the street name.
Example: To locate occupants residing on Memory Street, type S:Memory into the search bar.
- Click on “Main Street” to view the list of all occupants.
Search by Vehicles:By using the “V:” shortcut key, you can search for occupants with listed vehicle(s) by color, make, model, license plate, and sticker number. For example, let’s search for any occupant who owns a Toyota Camry.- Let's search for the car model. Type V:Camry. Then click the occupant’s name.
Take a look at the following examples to search by name, phone number, and email address.Search by Name:Type in partial first or last name to select occupant and view their record.- Example: If you want to search for an occupant with the last name “Flay”, type Flay into the search bar.
- Click on an occupant’s name or Show All.
Search Occupant by Phone Number (partial or full)
1. Type in a partial phone number (at least consecutive digits) to select occupant(s) and the record.
2. Click on the occupant’s name or Show All.
Search Occupant by Email address
1. Type in a partial or full email address using a few characters of the email id or by the provider (such as the Gmail, Hotmail, etc).
2. Click on the occupant’s name or Show All.
Search by Resident Account Number
1. Type in the short-key "a:" with the partial or complete account number to select the specific occupant.
2. Click on the Occupant's name.

The Search Occupant feature is a quick way to search for one or multiple occupants based on specific criteria such as name, phone number, car information, and email address. Once you’ve found the occupant record, you can send them a message, view their service requests and activity history, view their contact and lease information, and more.
